Why supplier management matters in billing software
Supplier records are most useful when they are connected to the purchases made from each supplier. A name and phone number alone do not show how much you bought, what has been paid or which invoices are still payable. Elite Billing links supplier details with purchase history so you can review the relationship from one record.
- Find a supplier quickly when creating a purchase invoice.
- Review total purchases, paid amounts and outstanding balances.
- See purchase invoices connected to one supplier.
- Record payments against the correct purchase invoice.
- Import an existing supplier list instead of typing every record manually.
- Use the Supplier Report to review supplier activity.
This is especially useful when a business buys stock from several distributors or keeps supplier credit outstanding. For the stock workflow connected to supplier purchases, read how to create a purchase invoice in Elite Billing.
Supplier features available in Elite Billing
The Suppliers page supports the everyday records and follow-up tasks needed by a small business:
- Add a supplier manually with a required name and phone number.
- Automatically create a supplier record when a purchase invoice is saved with a supplier name and phone.
- Store email, tax registration number, address and internal supplier notes.
- Search and sort suppliers by the fields shown in the supplier list.
- Review purchase invoices, paid amounts and outstanding payables.
- Record payments against purchase invoices.
- Import suppliers from an Excel or CSV file.
- Open the Supplier Report for supplier activity.

Step 1: Open Suppliers from the Purchases section
Expand Purchases in the app sidebar and open Suppliers. From this page you can add a supplier, search saved records, open purchase history, start a bulk import and open the Supplier Report.
If you are entering a purchase invoice for a new supplier, you do not have to leave the invoice screen first. When a purchase invoice is saved with a supplier name and phone number, Elite Billing can add the supplier record automatically.
Step 2: Add a supplier manually
Select Add Supplier to open the supplier form. Enter the required fields:
- Name: the supplier’s name or business name.
- Phone: the supplier’s contact number.
You can optionally add an email address, tax registration number, address and internal supplier notes. The tax registration number accepts up to 15 characters. Supplier notes can contain up to 1,000 characters, which is enough for useful context such as delivery terms, contact preferences or follow-up reminders.

Select Save Supplier when the information is ready. Select Cancel to close the form without saving. When an existing record needs an update, use the supplier row’s edit action.
Step 3: Add a supplier during purchase invoice creation
When you create a purchase invoice, enter the supplier name or phone number and select a matching saved supplier when one appears. The supplier’s saved phone, address, tax registration number and email can fill into the purchase invoice form for review.

If the supplier is new, complete the supplier name and phone number before saving. The supplier record can then be created automatically from the saved purchase invoice. This keeps the purchase process moving while building a reliable supplier list over time.
Step 4: Search and sort supplier records
Use the controls on the Suppliers page to find a supplier quickly:
- Search by supplier name or phone number.
- Sort by Name, Phone, Total Purchases, Total Amount or Last Updated.
- Use the page controls when the list contains more than 10 suppliers.
The supplier list shows these purchase-related details with the available record actions. Select a supplier’s name or history action to open purchase history. Use the view action to read saved contact details and notes.
Step 5: Review supplier purchase history
Open a supplier’s history when you need to review more than contact details. The supplier history page has three tabs:
- Overview: review the supplier profile and internal supplier notes. You can add or edit notes for important details, preferences and follow-up reminders.
- Invoices: review purchase invoice count, last purchase date, total purchases, paid amount and outstanding amount. Search by invoice number, choose a year and filter by All, Paid, Pending or Overdue (30+ days).
- Payables: review open purchase balances and record a payment. Search by invoice number, choose a year and filter by All, Pending or Overdue (30+ days).
This history helps answer practical supplier questions: how much have we purchased, which invoices are paid, what remains payable and which supplier bill should be handled next?
How to record a payment to a supplier
Open the supplier record and select the Payables tab. Choose the payment action for the relevant purchase invoice, review the invoice and outstanding amount, enter the payment and save it. Record the payment against the correct invoice so the supplier balance remains accurate.
After saving, review the updated paid amount and remaining payable balance. This is helpful when a supplier invoice is paid in parts or when several supplier bills are open at the same time.
How to import suppliers in bulk
If supplier information already exists in a spreadsheet, use Bulk Import rather than adding each record manually:
- Select Bulk Import on the Suppliers page.
- Download the sample Excel or CSV template.
- Keep the required Name and Phone Number columns.
- Add optional columns such as Email, Tax Registration Number and Address when needed.
- Upload the completed .xlsx, .xls or .csv file.
- Review the preview, row status and any errors.
- Fix rows that need attention before importing.
If some rows fail during import, use the error messages to correct the data and upload only those rows again. Leave rows already marked as imported out of the retry file to avoid duplicates.
Supplier reports and payable follow-up
Select Supplier Report when you want a broader view of supplier activity. Use the supplier history tabs when you need to investigate one supplier’s invoices and balances. These two views work together: the report helps you review supplier activity, while the history page gives you invoice-level detail.
For stock purchases, also review the related product and stock setup. Purchase invoices increase stock for linked products that already exist in Products & Services, while supplier records hold the purchase relationship and payable information.
Supplier records, purchase invoices and expenses
Use Purchase Invoice when you are recording products or supplies bought from a supplier and the linked product quantities should increase stock. Use Expenses for operating costs such as rent, utilities, transport or services that should be recorded as business costs rather than catalog stock purchases.
For example, buying 20 catalog products from a distributor belongs in Purchase Invoice. Recording a delivery charge, office rent or utility payment belongs in Expenses. Choosing the correct workflow keeps both stock and payable records easier to understand. See how to create an expense in Elite Billing for the separate expense workflow.
Supplier management mistakes to avoid
- Creating duplicate suppliers: search by name or phone before adding a new record.
- Using inconsistent supplier names: use the supplier’s recognizable business name so staff can find it later.
- Leaving out the phone number: Phone is required for a manually saved supplier and supports supplier lookup.
- Recording operating costs as stock purchases: use Expenses for rent, utilities, transport and similar costs.
- Recording stock purchases as expenses: use Purchase Invoice when linked product stock should increase.
- Paying the wrong invoice: confirm the supplier and invoice number before recording a payment.
- Uploading unreviewed spreadsheet data: inspect the import preview and correct errors before importing.
- Ignoring date and status filters: check the selected year and payment filter when reviewing supplier history.
